Job summary

This position requires the ability to anticipate needs, critical thinking, flexibility and manage competing priorities, and offer solutions with a high level of professionalism and confidentiality. 

Main responsibilities


  • Manage the CEO calendar and schedule meetings with clients, internal departments, external stakeholders, other agencies and Departments
  • Work closely with the CEO and (Senior) Executive Assistant in Germany
  • Organize, coordinate and ensure the Executive Team meetings (Leadership Team, TOP 100+)
  • Able to handle highly sensitive business communications, data and other information with confidentiality
  • Make travel and accommodation arrangement for the CEO

Supervisory Board Meetings

  • Coordinate logistics of executive team programs including Supervisory Board meetings
  • Take minutes in relevant meetings of the CEO
  • Serve as a liaison to Board of Directors
  • Organize meetings and events for convenings, retreats, various board meetings, and other logistics

Travel Planning

  • Arrange and book travel, transportation and accommodation arrangement for the CEO
  • Application for visas, clarification of necessary vaccinations
  • Prepare expense reports
  • Complete expense reports and manage correspondence with vendors


  • General administrative tasks, incl. review/release of invoices, control cost center reports, etc.

Competencies & professional background

  • Diploma in International Administration and Management or an equivalent degree
  • Proven experience as an executive assistant
  • Minimum 3 years of experience in a similar role
  • Experience in a corporate environment working for C-Levels
  • Excellent knowledge of MS Office (Word, PowerPoint, Excel, Outlook)
  • Being a team player with “hands-on” mentality
  • Must be able to meet deadlines in a fast-paced quickly changing organization
  • Being able to organize daily tasks
  • Discretion and confidentiality are our priority
  • Ability to work independent and to prioritize tasks
  • Excellent organizational and coordination skills
  • Professional level verbal and written communications skills
  • Strong communication skills (verbal and written) in English language, another language preferred
  • Flexibility and willing to undertake varied responsibilities
  • Must be available for occasional after business hour support
